For front desk teams and treatment coordinators who take calls from patients upset about a bill, and for office managers who make the decisions that come…
Scripts and bill math
Human directed. AI organized. Continuously improved.
Insurance Conversations, guide 1 of 6. A field guide for the billing call: how dental insurance pays, why the patient still owes, and how to explain it without blaming the patient, the plan or the office. It includes the bill math in 5 steps, the Hear, Show, Break down, Next step call plan, answers to 8 patient questions, a sample explanation of benefits (EOB, the plan’s written statement after a claim) with each part explained, what to check when an EOB looks wrong, a page for office managers and a 1 page quick reference. Facts and rules come from public sources from the American Dental Association, tagged next to the lines they back. Scripts, tips, advice and the 4 moves are Chairlink’s own. Dollar amounts in examples are made up. Plan rules, contracts and state rules vary, so the guide tells you when to check them.
The patient isn’t upset about the math. They’re upset about the surprise.
A patient calls holding a bill. “I have insurance. Why do I owe $1,750?” If you’re on the front desk, you own this call from start to finish. This guide gives you the order, the words and the next step.
**The quick answer.** Dental insurance pays part of the bill, by the plan’s own rules, and many plans stop at a yearly maximum. The patient owes the rest. Show the math from the explanation of benefits (EOB), the plan’s written statement after a claim. Then agree on what’s next.
**The bill math in 5 steps.** Walk it in this order:
1. Full fee: what the office charges a patient with no insurance
2. Allowed amount: the payment level the plan sets for the service
3. Deductible: what the patient pays before the plan starts paying
4. The plan’s percentage: the part of the rest the plan pays
5. The yearly maximum: the most the plan pays in a year
What’s left is the patient’s part.
**2 lines you can use today:**
“Good news: your plan will help with part of this. Covered means it helps pay, not that it pays all of it.”
“Your plan’s yearly maximum is $1,500. That’s a limit, not a promise.”
**Inside the full guide:** the 4 moves for a billing call (Hear, Show, Break down, Next step), scripts for the deductible, the yearly maximum, fees at an office with no contract with the plan, “Do you take my insurance?”, 2 plans and “Nobody told me this,” a sample EOB with each part explained, a fast path from what the patient says to the likely reason, a page for office managers and a 1 page quick reference.
